There are a few ways you can free up space while making sure your important emails and files are kept safe.

Clean Up Your Mailbox

Start by checking the folders that may be using the most storage:

• Inbox
• Sent Items
• Deleted Items
• Junk / Spam

Look for old emails, large attachments and conversations that you no longer need.

Delete Unnecessary Emails

Delete emails that you no longer need.

Important: Make sure you do not need an email before deleting it.

Once you have deleted the emails, remember to empty your Deleted Items or Trash folder, as these emails may continue to use mailbox space until they are permanently removed.

Archive Important Emails

If you need to keep older emails but do not need them stored on the mail server, we can help you move them into an Outlook Data File (.pst).

This allows you to keep older emails available in Outlook while freeing up space on the mail server.

Note: This function is only available in Outlook Classic

Keep Your Data File Safe

An Outlook .pst file is not a backup. If the computer or drive containing the file fails, you could lose the emails stored in it.

We can help you create and configure a data file and make sure it is included in your backup.
