Spam Emails: How to Train, Block and Manage Suspicious emails

Spam emails can sometimes make it through even the best email filtering systems. When this happens, SpamExperts provides tools that allow you to report unwanted emails, train the filter, and block persistent senders or domains.

The more you use these tools correctly, the better SpamExperts can learn what should and should not reach your inbox.

What Should I Do When I Receive a Spam Email?

If a spam email has reached your inbox, do not simply delete it if you want to help improve the filtering.

Instead, report the message as spam to Intellihost support and we can action this accordingly

When an email is reported as spam, SpamExperts can use this information to improve filtering and help prevent similar messages from reaching your mailbox in the future.

Report an Email as Spam

  1. Send us the Subject line of the email to train the email
  2. Send us the email address that sent the spam so we can block it

This helps train the filtering system to recognise similar messages as unwanted mail.

What If a Legitimate Email Is Being Marked as Spam?

Spam filtering can occasionally identify a legitimate email as spam.

If you are expecting an email and it has been incorrectly filtered:

  1. Log a ticket or emailhelp@intelli.host
  2. Send us the senders email and a hint on the subject line
  3. We can then look for this email in spam quarantine to release

Using Release and Train is particularly useful because it tells the filtering system that the message is legitimate.

If the sender is trusted and you regularly receive emails from them, you can also add their email address or domain to your Allow List.

Blocking a Sender

If you repeatedly receive unwanted emails from the same sender, you can add the sender to your Block List.

For example:

unwanted@example.com

Once added to the Block List, emails from that sender can be rejected or filtered according to your SpamExperts configuration.

Training SpamExperts

SpamExperts uses filtering and reputation information to identify unwanted messages, but user feedback can also be useful. When managing your email, the general rule is:

Email received Recommended action
Clearly spam Report as Spam to Intellihost support
Legitimate email incorrectly quarantined Release / Release and Train
Trusted sender repeatedly blocked Add to Allow List
Persistent unwanted sender Add to Block List
Unsure whether an email is safe Do not click links or attachments; contact Intellihost support

Don't Just Delete Persistent Spam

If the same type of spam continues to reach your mailbox, deleting the emails without reporting them does not provide any additional feedback to the filtering system.

Where possible, report the message as spam to Intellihost support instead. This gives SpamExperts additional information that can help identify similar messages.

Be Careful With Allow Lists

An Allow List should only contain senders and domains that you trust. Adding a domain to the Allow List can cause emails from that domain to bypass some spam filtering.

For example, adding @example.com could allow all emails from example.com.

For this reason, it is often safer to allow a specific sender rather than an entire domain when possible.

Spam That Contains Phishing or Malicious Links

Not all spam is simply advertising. Some unwanted emails may attempt to:

  • Steal your login details.
  • Obtain banking or payment information.
  • Install malware.
  • Trick you into changing account information.
  • Impersonate a company or colleague.
  • Direct you to a fake website.

If an email looks suspicious, do not click links, open unexpected attachments, or reply to the sender.

Report the email as spam and contact your Intellihost Support Team for assistance.

When Should I Contact Intellihost?

Contact our support team if:

  • You are receiving a large amount of spam.
  • Spam continues after being reported.
  • Legitimate emails are repeatedly being blocked.
  • You are unsure whether an email is malicious.
  • You need assistance configuring your Allow List or Block List.
  • You believe an email account may have been compromised.

When contacting support, it is helpful to provide examples of the emails involved, including the sender address and subject.

Spam filtering is not a one-time process. Combining SpamExperts filtering with user feedback, appropriate allow/block rules, and good email security practices provides the best protection against unwanted email.
